Privacy Policy

This Privacy Policy explains what information Mail Tracker(“we”, “us”) collects, how we use it, and the choices you have. Mail Tracker is an email tracking tool for Gmail, operated by Mailsumo (mailsumo.io). Your Mail Tracker account is a Mailsumo account, so signing in, billing, and account deletion all happen there.

Information we collect

• Account data: your name, email address, and profile image from Google when you sign in.
• Emails you track: the subject line, the recipients’ email addresses and names, the Gmail thread and message identifiers, and when the email was sent or scheduled to send. We use these to show your read receipts and build your reports and history.
• Tracked links: when link click tracking is on (Premium), the address each tracked link points to, so a click can be counted and passed on to it.
• Open events: each time a tracked email’s tracking image loads, we record when it happened, an anonymized IP address, the user agent of the app that loaded it, and how we classified the load, for example as a genuine open, Gmail’s image pre-fetch, Apple Mail Privacy Protection or a security scanner. When the email is opened directly rather than through an image proxy such as Gmail’s, we also record the device type (for example iPhone, Android phone, Mac or Windows) and the approximate location, country and city, derived from the IP address. On Premium, when an email has a single recipient, its opens are also tagged with that recipient’s email address, so you can see that they opened it.
• Click events: each click on a tracked link records when it happened, an anonymized IP address, the device type, the country derived from the IP address, and how we classified the click.

What we do not collect

• We never store the body or attachments of your emails.
• We never store a full IP address. Before an IP address is stored, its last part is discarded: the last of the four numbers of an IPv4 address, and everything after the first half of an IPv6 address.
• We do not sell your data or share it with advertisers.

How we use information

We use the data above to provide the service: showing open status in Gmail, powering your dashboard and reports, sending the notifications you enable, and processing payments through Stripe. We use Google’s user data solely to provide and improve these features.

Third parties

We rely on trusted processors: Google (sign-in), Stripe (payments), Letter and Amazon SES (email notifications), and our hosting/analytics infrastructure. Each processes data only as needed to operate Mail Tracker.

Data retention & deletion

Your tracking data is retained while your account is active. You can permanently delete your account and all associated tracking data at any time from the Account page in your Mailsumo dashboard. This cascades and removes everything.

If you received a tracked email

If someone sent you an email with Mail Tracker, opening it with images turned on loads a small tracking image, and clicking a tracked link passes through our redirect on the way to its destination. We record the open and click events described above. The sender sees when and how many times their email was opened and, on Premium, which links were clicked. We never see or store what the email says. To stop opens from being detected, turn off automatic image loading in your email app. To ask about or delete data about you, email [email protected].
